GENERAL FUNCTIONS

The Temporary Project Marketing Manager will work closely with the Marketing & Communications team at Y-USA and other internal departments to understand and implement the initiative and will be responsible for driving this program to success. The Temporary Project Marketing Manager will also handle regular communication ensuring extremely high levels of customer service.

Contingent upon funding, this position will be supported by a grant until December 31, 2012, with the possibility of being extended thereafter.

KNOWLEDGE, SKILLS AND ABILITIES

  • BS or BA required & advanced degree desirable
  • 5+ years of account management experience either agency or client side
  • 7+ years marketing experience managing national initiatives
  • Interactive / Digital marketing experience is a must
  • Proven experience in program activation of large scale national campaigns
  • Nonprofit industry experience helpful but not required
  • Strong technical, analytical, and communication skills
  • Experience with internal communications beneficial

ESSENTIAL FUNCTIONS

  • Manage multiple relationships with various teams associated with the new campaign, developing positive working relationships with internal Y-USA teams, advertising communications agencies and sponsor contacts.
  • Leverage technical tools and data and solicit ongoing feedback to research campaign opportunities as the campaign runs to ensure success, uncover problems, and measure results.
  • Prepare campaign progress reports, analysis and research leveraging Y-USA and sponsor data for presentation to internal and external stakeholders both during and after campaigns.
  • Manage various elements of campaign to achieve maximum efficiency and visibility, with carefully executed follow-up to ensure timelines and budgets are being met.
  • Extensive experience in program activation and ongoing management of large national campaigns.
  • Maintain status documentation for use by Y-USA and other stakeholders as needed.
  • Manage day-to-day operational processes including campaign set-up and activation, trafficking, optimization and trouble-shooting.
  • Work closely with Y-USA and other teams to communicate causes for campaign success or challenges, to drive implementation enhancement and success of campaign.

GENERAL FUNCTIONS

Specific responsibilities include: recruiting local Y's to participate, tracking and evaluating local metrics, organizing learning sessions, providing on-site training, executing on the knowledge transfer strategy, ensuring consistency during expansion and replication, leading meetings, authoring reports and providing support to the Y movement's Nationwide Campaign.

KNOWLEDGE, SKILLS AND ABILITIES

  • A bachelor's degree is required
  • A minimum of 5-7 years of development experience is required (2 years in annual fund is required)
  • Must be able to travel approximately 50% of the time
  • Must possess increasingly responsible annual campaign experience, preferably in a multi-site environment
  • Must possess excellent analytical skills, and oral and visual presentation skills (e.g., reports, charts)
  • Must possess the ability to develop and manage budgets
  • Negotiation, leadership and consensus-building skills are required

ESSENTIAL FUNCTIONS

  • Travel to YMCA locations nationwide (estimated 50%) to provide consulting, training and other support to regional fundraising campaigns
  • Create and deliver presentations, or prepare them for the Chief Development Officer, CEO and/or Board volunteer to deliver, regarding the benefits and status of regional collaborations and their role in the Nationwide Campaign
  • Lead training sessions in collaborative fundraising
  • Act as expert and manage incoming calls and inquiries from local YMCAs regarding regional collaboration and annual fund development. Provide guidance on both tactical and strategic issues in the annual giving arena
  • Facilitate challenging situations with local Y leadership such as collaboratives with significant leadership changes and/or resource issues
  • Responsible for the creation and coordination of a system of local YMCA providers to support regional collaborations and the Nationwide Campaign
  • Responsible for integration of YMCA State Alliance structure into the development of regional collaborations and the Nationwide Campaign
  • Work with the Capacity Building team and Partner YMCAs to identify, cultivate and launch new regional collaborations in fundraising
  • Build consensus among local Y leadership to share responsibility for an effective, collaborative fundraising campaign
  • Track and provide analysis of regional collaboration budget, key metrics, trends and projections, including comparative and control data.
  • Prepare national reports to Y CEOs and executive leadership on the status of these collaborations
  • Provide updates on tactical objectives articulated in Y-USA's strategic plan.
  • Compile and present data to inform the strategic direction and scope of the Y movement in regional collaborative fundraising.
  • Schedule, coordinate, organize and support regional collaborative fundraising meetings (30 regional campaigns covering 60 metropolitan areas to operate by end of 2012)
  • Create and organize agendas and collateral materials for regional collaboration meetings and presentations
  • Learn and master wealth screening software in both emerging and robust major gift environments. Perform prospect research for Y-USA and local Y's. Rate prospects and provide justification in Raiser's Edge database
  • Assist with related projects as needed

EFFECT ON END RESULTS/STRATEGIC IMPACT

The Regional Collaboration Manager will directly contribute to Y-USA's objective of strengthening the Culture of Philanthropy at YMCAs nationwide. By providing support to regional campaigns, the Regional Collaboration Manager will help knit the Y movement together around a shared purpose, and a Nationwide Campaign, while building capacity and reinforcing sustainability in communities nationwide.

Salary: $74,400 - $92,945

BASIC FUNCTION

Under the supervision of the Director of Planning, Program Design and Grants Management, the Grants Administrator is responsible for coordination, accuracy, systemic operations and oversight of the Area Agency’s complex grant making process. The entire grant-making process includes the development of the request for proposals and other procurement, development of the application for funding , the proposal/application review process, developing recommendations on funding levels, development of legal agreements and contracts, issuance of these agreements and contracts, provision of timely reimbursements under the terms of the agreements, receipt and review of accurate reporting on the use of those funds, analysis of program and fiscal information, in-person or other reviews of the performance of the agencies and closeout of all grants. The incumbent is expected to develop and maintain good working relationships with grantees. Over 70 agencies receive funding from AgeOptions each year from over 40 different sources of funding to these organizations.

DUTIES AND RESPONSIBILITES

Grant-Making/Procurement – Maintains procedures to ensure the procurement of services is in compliance with Federal, State, and Area Agency requirements.

  • Assist in the development of the Requests for Proposals (RFP) document, application and scoring tools

  • Issue the RFP and manages the subsequent procurement process (including the review and scoring of applications, and presenting recommendations for funding to the Agency’s Board of Directors Program Committee)

  • Prepare for and represent the Area Agency during appeal hearings

  • Oversee the issuance of Notices of Grant Awards (NGAs) and contracts

  • Develop sub-grants and contracts as needed

  • Oversee the processing of reimbursement requests and payments to grantees/contractors

  • Oversee the grant and contract closeout process

Monitoring/Compliance Reviews – Responsible for monitoring partner performance on an ongoing basis e.g. during local agency transitions, Corrective Action Plans, and Notice of Deficiencies. Also, develops annual on-site review schedule for all programs to ensure compliance with grant requirements and audit standards. Responsible for continuously seeking ways AgeOptions may assure compliance and quality in services and programs.

  • Oversee periodic on-site program and fiscal compliance reviews as well as ongoing monitoring of funded agencies

  • Oversee on-site Elder Abuse case and administrative reviews

  • Oversee desk reviews of programs

  • Oversee client and other complaint tracking and resolution

Reporting – Maintains schedule of reports to ensure timely and accurate reporting. Work closely with Finance Department to prepare reports.

  • Supervise the preparation of programmatic and fiscal reports to Illinois Department on Aging and other funding sources.

  • Supervise the processing of National Aging Program Information System (NAPIS) data and the completion of relevant reports

  • Assist in preparing the Quarterly Financial Report

Technical Assistance – Provides training and support to ensure program standards are met. Oversees capacity building of new and ethnic agencies to improve their quality and grants management.

  • Provide training and technical support regarding the Older Americans Act and Area Agency requirements

  • Provide technical assistance related to grants/contracts, budgets and other administrative issues

  • Conduct orientation sessions for new and potential grantees

Policies and Procedures – Ensure policies and procedures are updated as necessary and shared with relevant staff and grantees.

  • Develop and maintain policies and procedures related to implementing grants

  • Review regulations and comment on revisions

Supervision

  • Supervise, train, manages workloads, and conduct performance evaluations of all personnel under his or her supervision including but not restricted to:
    • Grants Specialist
    • Grants Specialist, Monitoring
    • Dietitian

Other Duties

  • Performs other duties as assigned

Connections

This position will work closely with all other units of the agency. In addition, the Grants Administrator will need to interact tactfully, professionally, and objectively with the staff of funded agencies.

QUALIFICATIONS

  • Master’s degree in Public Administration, Business Administration or related field, plus two (2) years experience in grants administration, or Bachelors and 4 years of related experience
  • Management experience with proven ability to supervise people effectively
  • Demonstrates a keen eye for detail with numbers and ability to identify and reconcile discrepancies
  • Ability to coordinate a high volume of financial data and interpret the meaning behind the data
  • Excellent verbal and written communication skills
  • Ability to develop strong working relationships with community agencies and co-workers
  • Understanding of regulations, contracts and legal requirement a plus
  • Knowledge of senior service programs and systems
  • Mastery of Microsoft Office software programs, advanced knowledge of Microsoft Excel and Microsoft Word.
  • Knowledge of data bases a plus
  • Ability to travel around suburban Cook County, IL
